The B2B Sales Prospecting Guide: Research to Outreach in 90 Seconds
B2B prospecting is the practice of identifying companies and buyers who are a strong fit for your product, then engaging them with messages that earn a reply. Done well, it is the single highest-leverage activity in any sales motion. Done poorly, it produces the inbox spam every buyer now ignores.
This guide walks through a modern prospecting workflow — from defining an ICP to sending a first touch — and shows where intelligence tools collapse the gap between research and outreach.
1. Start with a sharp ICP
Every effective prospecting motion begins with a written Ideal Customer Profile. An ICP is not a persona — it is the company you sell to. Pin down:
- Industry and sub-segment (e.g. "mid-market SaaS", not "tech")
- Headcount band and growth signal (hiring, funding, expansion)
- Tech stack triggers — the tools whose presence predicts a fit
- The specific pain your product removes, in the buyer's words
If you can't name the trigger event that makes a company worth contacting this quarter, your list will be too broad and your reply rate will reflect it.
2. Build a high-fit list, not a big one
The instinct to pull 5,000 contacts from a database and blast them is the fastest way to burn a domain. Modern prospecting favors quality: 30–50 well-researched accounts per rep, per week, refreshed continuously. Use data providers to source, then enrich each row with intent and trigger signals — funding rounds, exec hires, product launches, 10-Ks, podcast appearances.
3. Research the account, not just the contact
Most "personalization" — "saw you went to State, go Tigers!" — is rejected on sight. What buyers reward is evidence you understand their business. Before any outreach, build a brief that answers:
- What does this company do, and how do they make money?
- What changed in the last 90 days that matters to them?
- Who is the buyer, and what are they accountable for this year?
- What is the most credible reason your product helps them, right now?
Historically this took a rep 30–45 minutes per account. With an intelligence tool that does live web research, the same brief takes under two minutes — which is the whole point of automating it.
4. Write the first touch around a single insight
A good cold email earns one job: a reply. It does that by trading specifics for the reader's attention. Anchor the opening on one signal from the brief (a hire, a product launch, a board priority), connect it to a measurable outcome, and close with a low-cost ask. No paragraphs. No "circling back". No "just checking in".
A useful template:
Subject: {Signal} → {Outcome}
{First name} — noticed {specific signal from research}.
Teams in your spot usually hit {painful symptom} next; we help by {one-line mechanism}.
Worth a 15-min look next week?5. Sequence with restraint
A four-to-six touch sequence across email, LinkedIn, and the occasional call is the current ceiling for what most buyers will tolerate. Each touch should add a new angle — a different signal, a piece of proof, a relevant case study — not the same message louder. If touch three is "just bumping this up", cut it.
6. Close the loop between research and outreach
The structural problem with most prospecting stacks is that research lives in one tool, sequences live in another, and the rep is the integration. Insights from the brief never make it into the copy, so messages default to generic templates. The fix is to generate the brief and the sequence in the same step, so every touch is grounded in the same research the rep just read.
That is the workflow Brief Source is built for: paste a name and company, get a complete intelligence brief plus a ready-to-send sequence written in your voice — in about 90 seconds.
7. Measure what predicts pipeline
Reply rate is the leading indicator. Meetings booked is the lagging one. Track both per sequence, per ICP segment, per signal type. Kill the segments and signals that don't convert; double the ones that do. Prospecting is a search problem — the goal is to find the message-market fit, not to send more.
